The Questions You Should Ask when planning a student trip

So, you’ve picked a couple of destinations you want to go with your students? Great! To make the most of your experience, here are some important questions to ask of your tour provider or student travel company when getting a quote. When it comes to making positive memories that will last a lifetime, you’ll be so glad you did!

Trip Price and Details

1. Other than airline fare, will the trip price per student be firm at time of proposal?
2. Will the price of the trip be based on the actual trip dates requested?
3. Will we have a detailed itinerary in advance of the trip?
4. Will we have a private tour or are transportation and/or accommodations shared by another school/group?
5. What will the group leader/educator/chaperone trip price be per student?
6. Is online registration and payment collection available?

Transportation

1. Will the motor coaches be more than 5 years old?
2. Will we be taking public or chartered transportation to and from venues and events?
3. How much total walking will be involved?
4. Will all flights be direct or will there be connections?

5. Will the hotel be a full service Hilton, Sheraton, or Marriott brand property?
6. Will there be a meeting/gathering/dining space that is large enough for our group?
7. Will the rooms be on inside corridors for safety and security?

Tour Guides

1. Are the tour guides dedicated to our group for the duration of the trip?
2. What is the guide per student ratio?
3. What is the experience level of the tour guides?

Meals and Dining

1. How many meals will be included in the trip price?
2. Will there be there a full, private breakfast buffet at the hotel?
3. Will our entire group be able to eat together at the same time?
4. Are the meals fast food and/or food courts or sit-down dining?
5. Will we know the exact restaurants to be reserved for our group?

Events & Activities

1. Will we have input into the activities and events we want to do on the trip?
2. Are the activities included in the trip cost or priced a la carte?
3. For Broadway style shows, concert halls, or athletic events, where are the group seats located?
